Before discussing how HNCCM engages in the consultation process, an overview of public relations is provided below.

 

Q. What is Media & Public Relations?

 

A.  Some may say that media & public relations is essentially the same thing.  However, according to us, they are two completely different services they have two completely different outcomes.  Public relations is how your brand or organization is perceived by the public and how you interact with the public.  Media relations is about how your brand/organization liaise with the press & media outlets to accomplish desired results.

 

Public relations can be described as a form of communication that uses publicity and promotional strategies to influence public perception and image via advertising and media/news coverage and/or the management of public opinion and attitudes to promote a business establishment.

 

Who you are, what you do, how you do it, and why anyone should care? These are the questions we seek to answer. Many times, our clients are “too close” to their businesses and brands. Separating themselves from the internal perspective and pressure to ensure their messaging and positioning is balanced is challenging. We help our clients to not get muddled in the minutia that their customers don’t care about or aren’t motivated by. We differentiate our clients from the crowd!

THE HMCCM CONSULTATION APPROACH: 

How does LLEWMORC Agency engage clients in the consultation stage, and what can clients expect in terms of their roles?

 

The below list provides examples of various topics that may be covered during your HMCCM consultation.

 

HMCCM Practices

Once HMCCM receives your consultation request form and before any consultation with potential clients, we ask general questions concerning the client’s business. This discussion will help us understand our client needs.

 

\We ask questions (which will be sent once we’ve received your consultation request form) to help understand:

 

  • What makes your organization different from other services/product providers?

  • How do you distinguish your services/products from your competitors?

  • What is your target audience?

  • What messages do you communicate to your target audience? 

  • What media will go the farthest in meeting your goals and objectives?

  • What difficulties are you facing?

  • What's your project budget?

 

After the above Q&A stage is complete, we schedule an in-person & conference call consultation to gather additional information.  Once this stage is complete, we develop a proposal outlining a customized communications & marketing strategy (The Plan).

 

Once The Plan is delivered, the client will have the option to either move forward with signing a media services agreement to have our staff develop a full plan for execution, have our staff develop a full plan only (at an additional cost) or simply take to plan and execute it themselves.

 

If the client decides to move forward after reviewing the plan, we draw up an agreement outlining the terms.  The contract is executed by signatures of both parties and we receive the initial fee.  Fee arrangements may be made by the retainer, hourly, per project, or a combination thereof.

 

We’ll request additional information for a complete plan.  Once our client reviews and approves the proposal,

 

 

PLAN EXECUTION STAGE:

Once a signed media services agreement is in place, the real work begins.  We’ll request additional information for a completed plan.  To gain a complete picture of the organization, our clients submit all pertinent information and relay pros and cons of the business. This process allows us to complete a rough draft of the action plan and a work product timeline. From this point, we have various meetings with our client to discuss logistics and determine if any necessary revisions or schedule changes are needed to complete the project.

 

The process just described requires the client and HMCCM to conduct research and gather pertinent information. The following list is the basic steps of the consultation approach:

·         Gathering and assembling appropriate information about the business

·         Determining a plan of action to meet client and target audience needs

·         Be forthcoming about the pros and cons of the business. (This is invaluable to form a plan of action)

·         Willing to adjust approach based on consultant recommendations

·         Overseeing budget (HMCCM has to have the numbers)

·         Being realistic in revising budget plans

·         Evaluating alternate approaches

·         Conducting a risk analysis

·         Remaining open about consultation view

·         Developing a project plan/timeline

·         Staying abreast of important milestones and deadlines

 

The HMCCM consultation approach requires active participation from all parties.

Unlike advertising, which basically relies on purchasing power to spread the message, the PR process relies solely on the quality of content to persuade the target audience.

NOTE:  A $150.00 fee is required for all initial meetings/consultations prior to scheduling an in-person meeting/conference call.  

 

Reason for consultation fee:  There is time and research that goes into preparing for our consultations/meetings.  When meeting with potential clients, the plan is always to bring a PR strategy to the table. Whether a potential client hires our firm on not, this research takes time, manpower, and other resources to create; resources that are taken away from our current clients. If you decide to move forward with our services, the $150.00 fee will be applied to those services.
